Requesting Reimbursement from the CARES Fund

The Caring for Animals in Research Employee Scholarship (CARES) Fund offers scholarship opportunities for UW-Madison staff members who complete and pass an American Association for Laboratory Animal Science (AALAS) technical certification exam. Awarded individuals will receive a scholarship that covers the examination fee for the applicable AALAS certification exam. The eligible certifications include Assistant Laboratory Animal Technician (ALAT), Laboratory Animal Technician (LAT), and Laboratory Animal Technologist (LATG). The CARES Fund is funded by private donors who proudly support continuing education opportunities for employees in the lab animal science field. Animal care technicians, veterinary technicians, and many others can benefit from the CARES Fund.

Requesting Reimbursement:

If you are interested in applying for a CARES fund scholarship, you must have recently passed an AALAS certification exam while being employed at UW Madison. Once you’ve passed the exam, you can apply for reimbursement from the CARES fund.  Reimbursement is not guaranteed and will be offered on a first-come, first serve basis.  Documentation of exam payment and a copy of the official pass letter will be required for reimbursement.    

Create an Expense Report

• Go to Workday: https://www.myworkday.com/wisconsin/d/home.htmld
• Hover over Personal in the side bar and select Expenses Hub.

Click Create Expense Report

Enter the following information:

• Enter the following in the Memo box:

I am a (Animal Care Technician or Veterinary Technician) working for the (department), located at (building location). I passed a certification exam from the American Association of Lab Animal Sciences (AALAS), this certification has become a common requirement in the industry for lab animal care positions.

• Then click OK

Click on Expense Lines tab and then click Add

Enter the following information and add receipts by clicking on Select Files then Upload

Press Submit to complete your reimbursement request.

If approved, you will receive reimbursement by direct deposit.
